Document Manager: Saving documents created outside of Document Manager

Saving documents created outside of Document Manager

Documents created outside of Document Manager can be saved into Document Manager using the watch facility.

Saving documents created outside of Document Manager

The Document Manager watches a designated directory to detect any new document files that are put into it. If it detects a file, it moves it to the 'Import' folder in your drawer in the 'Users' filing cabinet and alerts you to the new file's presence. From the 'Import" folder you can then move the document to a suitable location in the Document Manager. This provides you with a method of saving documents to the Document Manager from a program like Microsoft Word without having to first create it in the Document Manager. Simply save the document to your 'Watch' directory, and the Document Manager will automatically move it to your 'Import' folder. You could, for example, specify a directory accessible to other users as your 'Watch' directory. They could then move or copy documents intended for you to the 'Watch' directory.

Setting the Watch directory

  1. From the Options menu, click Watch.
  2. On the "Watch Options" window complete the settings as required and click OK. (Click Defaults if you want to revert to the default factory settings.)

You are able to specify the 'Watch' directory and the time interval between checks for new files.

Watch Directory: Select the Use 'My Documents' directory check box to make the 'My Documents\HandiSoft' folder on your computer the 'Watch' directory. The Document Manager will automatically create the 'HandiSoft' folder.

Note: your computer might not use a 'My Documents' folder as your personal documents directory; in which case the Document Manager will create the 'HandiSoft' watch directory under the folder it does use. If you clear the check box, click the button on the New Dir: field to select another directory. The Document Manager will create a 'HandiSoft' directory under your selected directory, which will become your 'Watch' directory.

Auto Watch Settings: Type in the time interval between the checks for the new files in the 'Watch' directory by the Document Manager. Select whether the time is in Seconds or Minutes.

Document Manager will prompt you if any documents are awaiting import. Click Yes to complete the import function. Documents can then be be moved to the folders you require them in.
